Can scanning benefit me?

In today's business environment, there are many industries that are required to keep information on file for many years. For companies that have a lot of information to keep, but don't have a lot of space for boxes of records and files, this can be a problem; cramped work spaces, unsightly boxes cluttering up the office, the need for an archaeologist every time a piece of information needs to be retrieved, or money being tied up in a storage unit.

We can help you with that problem.

Copy One offers scanning services that will help you transform all of those boxes of files and records onto a handful of CD's.

Some of the benefits of scanning your paper files to CD include:

  • Saved space. You can fit up to 20,000 documents on one CD, immediately eliminating the need for one filing cabinet.
  • Increased security. You can make your CDs password protected which decreases the risk of unwanted access.
  • Easier access to files. Instead of going to where all boxes are stored, finding the right box, then finding the right file, then finding the right document within that file, you can look at your carefully indexed CD, find the file you need, and then the document you need, all with a few clicks of your mouse.
  • Easier sharing of information. You can easily share the information on your CD via a common server or attaching a document to an email. This makes communication with coworkers, associates, and clients much faster and easier.
  • No more misfiling. Once scanned, the documents that are viewed can't be misfiled, the original order in which the documents were scanned will always remain the same.
  • Better portability. Now, you can fit an entire filing cabinet into your briefcase. You can have all the information you need, at your fingertips, without lugging around countless paper files.
  • Only scan some items. Maybe you don't want to put ALL your paper files onto a disc, but you have some documents that you need to keep but rarely need to access. This is a perfect application for scanning; you can cut down your files by 5%, 10%, or whatever amount you want, and have those files on disc for the next time you need them.
  • Easy conversion back to paper. If you ever need to have the paper copies of your documents again, you can easily print off some or all of the scanned documents.

Frequently Asked Questions:

  • Can I scan pictures too? Pictures can be scanned, but they take up more space on the disc, take more time, and can lose some resolution after scanning.
  • What is the resolution of the scanner? Standard black and white scanning is at a resolution of 600x600 dpi. Standard color scanning is at a max of 600x2400 ppi. If you can get away with photos with less resolution and less color (or no color- just convert them to black and white), you will be able to fit more onto each disc.
  • How long will it take to scan my documents? This can vary greatly depending on the size of the job, the quality of the originals, and the number of staples and paper clips. We will give you an estimated time of completion after we see the job, and we will do our very best to complete your job by the time you need it.
  • How much does it cost? Again, it can vary depending on the size of the job and the quality of the originals. If you know approximately how many documents you have and how "clean" ("cleanliness" refers to the number of staples and paper clips, the frequency of different sized paper, and overall quality of the originals) they are, just drop us an email and we'll gladly give you an idea of what your job will cost.
  • In what format will the scanned documents be? Generally, they will be PDFs, but if you need them in another format, we will do our best to get them into the format you need.
  • I can't let my documents out of my building, do you do on-site scanning? Not at this time. However, we will gladly sign any confidentiality agreements to ensure that your scanning will be completed with the utmost care and privacy. In our main area of litigation copying, this is something we have encountered before and have never had any issues.
  • Does the same pick up and delivery service that you provide to your copying customers apply to scanning customers? Absolutely, regardless of what service we provide to you, you are our customer and we will do whatever it takes to make the process easy and convenient for you.
  • If you have any other questions, please don't hesitate contacting us via phone at (719) 533-0982 or sending us an email and we'll address your question promptly.
